groundwork solutions — applied ai for small & mid-sized companies

you don't have an ai problem. you have a nobody built it for you problem.

Every week the same work comes back around. The same five answers typed into the same inbox. Bookings juggled across voicemail, text, and a paper calendar. Leads that went cold because nobody got to them by Thursday. It isn't that your team is slow. It's that the work never stops arriving.

The tools sold to fix this were built for companies with a thousand seats and an internal platform team. You were handed the same software, the same six-figure quote, and a year of onboarding — then asked to change how you operate to suit it. Most owners take one look and go back to doing it by hand. That is a rational decision, and it is costing you a person's worth of hours a week.

We build the other thing. Custom AI agents that plug into the systems you already run — your inbox, your calendar, your CRM, your phone line — and take the repeating work off your desk. Not a chatbot bolted to your homepage. Agents that read the ticket, make the call, book the slot, chase the lead, and hand you the exceptions.

Small and mid-sized companies are the right size for this. The decision is one conversation, not one committee. You know exactly which work is killing you. And you'll feel the difference the week it ships.

what we do

six agents that earn their seat

Each one is built for your business, on your data, inside your stack. Start with one. Most clients add a second within a quarter.

support

agentic ticket support

Reads every inbound ticket, pulls the real answer from your docs and order history, and replies in your voice. Escalates the genuinely hard ones with the context already attached.

  • first-touch replies, day and night
  • refunds, status, and returns handled end to end
  • a human handoff that isn't a cold start

scheduling

agentic booking

Takes a request in plain language — email, SMS, web — checks real availability across your team, books it, confirms it, and reschedules when plans change.

  • no double-bookings, no back-and-forth
  • reminders that cut no-shows
  • writes straight to your existing calendar

voice

ai receptionist

Answers the phone on the first ring, every ring. Qualifies the caller, answers what it can, books what it should, and routes the rest to the right person with a written summary.

  • after-hours and overflow coverage
  • every call transcribed and summarized
  • speaks your services, prices, and policies

growth

agentic lead finder

Works your definition of a good customer, finds companies that match, verifies the contact, and drafts an opener grounded in something actually true about them.

  • a fresh, researched list every morning
  • signal-based triggers, not scraped lists
  • follow-up that doesn't quit at email one

back office

document & invoice automation

Pulls the numbers off invoices, POs, and forms, checks them against what you expected, and posts them where they belong. Flags only what looks wrong.

  • no more manual re-keying
  • exception queues instead of full review
  • works with your accounting system

internal

internal knowledge agent

Everything your team keeps asking each other — pricing rules, warranty terms, which vendor, what the process is — answered instantly from your own files, with the source cited.

  • onboards new hires in days
  • lives in Slack, Teams, or the browser
  • answers cite the document they came from

how it works

first agent live in six weeks

A fixed sequence with a fixed price at each stage. You can stop after any one of them and keep what we've built.

  1. 01

    audit

We sit with your team for two days and follow the work — where it queues, who unblocks it, what it costs you. You get a written map of every process worth automating, ranked by hours returned.

    week 1
  2. 02

    blueprint

We pick one process and spec the agent against it: what it can decide alone, what it must escalate, which systems it touches, and how we'll know it's working. Fixed scope, fixed price, before a line of code.

    week 2
  3. 03

    build

We build it on your data and run it in shadow mode beside your team — it drafts, they send — until its judgment matches theirs. Then we let it go live on the easy half of the volume.

    weeks 3–6
  4. 04

    run & tune

Live agents drift when your business changes. We watch the escalation rate, retrain on the exceptions, and send you a monthly note on what it handled and what it handed back.

    ongoing
  • 71%of inbound tickets closed without a human
  • <1sto answer a call, at 2am or at noon
  • 22ha week handed back to the average client
  • 6wkfrom first conversation to live agent

what they say

from the people who stopped doing it by hand

We were drowning in the same forty emails a day. The support agent went live on a Tuesday and by Friday my ops lead had her afternoons back. She's now doing the work I actually hired her for.
Dana WhitfieldCOO, Harbor Point Supply · 40 staff
I'd been quoted three hundred thousand and eighteen months by an enterprise vendor. Groundwork scoped it in a week and had the receptionist answering calls in five. We haven't missed a booking since.
Marcus BellOwner, Bell & Sons HVAC · 12 staff
The lead agent found us eleven qualified accounts in month one, two of which closed. What sold me was that it stopped guessing — every opener referenced something real about the company.

straight answers

the four things everyone asks

What does this actually cost?
The audit is a flat fee and stands alone — you keep the map whether or not you build with us. Each agent is quoted as a fixed build plus a monthly run fee, and both numbers are on the table before the blueprint is signed. No seat licences, no usage surprises.
Where does our data go?
Into your own accounts wherever possible. We build inside your cloud and your existing tools, we don't train foundation models on your content, and you get an inventory of every system the agent can read from and write to. You can revoke any of it in an afternoon.
What happens when it gets something wrong?
Every agent ships with a defined escalation boundary — the cases it must hand to a human, written down before we build. Shadow mode runs it beside your team until its judgment matches theirs. And every action it takes is logged, attributed, and reversible.
Do we need someone technical on our side?
No. You need one person who knows the process well enough to say when the agent is wrong. We handle the integrations, the hosting, and the upkeep. If you'd rather own it outright, we'll hand over the code and document it.

tell us which twenty hours a week you want back.

Twenty minutes on a call. You describe the work that keeps coming back; we tell you honestly whether an agent can take it — and what it would cost. If the answer is no, we'll say so.
